Why teams use Draftwell
Consistent emails without slowing anyone down
Most teams already have good emails. They're buried in someone's Sent folder, rewritten from memory, and a little different every time. Draftwell turns them into a shared library everyone uses.
On-brand, every send
Admins own the approved wording, formatting, and signatures. Everyone else fills in the blanks but can't drift from the message. Change a template once and the whole team sends the new version from that minute on.
In practice: Rebranding? Update the signature block once instead of chasing every inbox.
Time back on every routine email
No blank page and no digging through Sent for last time's version. Pick the template, fill a few fields, and copy. Names, company, and today's date fill themselves in.
In practice: Weekly updates, payment reminders, and RFI responses all start from the same proven draft.
Mistakes caught before they're sent
Every blank stays highlighted until it's filled, and copying with one left shows a warning. Nobody reuses an old email with the last client's name still in it.
In practice: “Hi {{client_name}}” gets caught on your screen, not in a client's inbox.
New hires sound like veterans
The library is the training. A new coordinator sends the same clear, approved email as your most experienced project manager on day one.
In practice: Onboarding covers where the templates are, not how to word a submittal reply.
Approved language stays approved
Disclaimers, scope notes, and contract wording go out exactly as your principals or counsel approved them, with every change recorded in version history.
In practice: An RFI answer always says it doesn't change cost or schedule, because the template says so.
See what your team actually uses
Know which templates get copied, who uses the library, and which drafts never shipped, so you improve the emails that matter.
In practice: Retire the templates nobody opens and sharpen the ones everyone does.
Time savings
What is rewriting the same emails costing you?
Put in your own numbers. The minutes add up faster than most teams expect.
Your estimate
- Hours back each week
- Hours back each year
- Value of that time each year
People × emails × minutes saved, over 48 working weeks. It's an estimate from your numbers, not a promise; your results depend on your team.
How it works
From library to inbox in three steps
Step 1: An admin writes the template once
Use your best version of the email. Add {{blanks}} for anything that changes, like the client or project name, then publish it to the team.
Step 2: Anyone finds it in seconds
Search by title, subject, or content from any page, or browse by category. Star the ones you use every day.
Step 3: Fill, copy, paste, send
Type the few details that change, copy the formatted email, and paste it into Gmail or Outlook. Your name and company are already filled in.

Questions teams ask first
How is this different from Gmail or Outlook templates?
Those are saved per person, so every teammate keeps a slightly different copy and nobody knows which is current. Draftwell gives the whole team one approved version, fill-in fields that personalize each email, and a view of what gets used. It works with Gmail and Outlook alike.
Do we have to install anything?
No. Draftwell runs in the browser. Copy an email and paste it into any mail app, or open a new message in Gmail, Outlook, or Yahoo Mail with one click. There's no plugin and nothing for IT to approve.
Will the formatting survive when we paste?
Yes. Copy writes a formatted version and a plain-text version at once, so bold text, links, lists, fonts, and colors come through in Gmail, Outlook, and Apple Mail.
Who can change the templates?
Only admins. Everyone else can search, fill in the blanks, and copy. Every change is saved as a version with who made it and why, and any earlier version can be restored.
What does it cost?
Draftwell is free during early access, with every feature and no limits. If paid plans arrive, workspace admins get at least 30 days' notice, and nobody is charged without choosing a paid plan.
Is our information private?
Each workspace is kept separate from every other. We don't sell data or show ads, and what you type into a template's blanks stays in your browser. You can download or delete your data at any time.
